1. Trigger

A retailer purchase order arrives by email or EDI.

2. AI check

The order is read into a shared record and checked against the current price list, available stock, minimums and retailer terms. Mismatches are flagged with the source line.

3. Person approves

The wholesale lead sees clean orders and flagged ones side by side, fixes or queries the flagged lines, and approves release. Nothing is released without that approval.

4. Exception path

A short-shipped line or a price dispute goes to a named owner with a follow-up date, instead of a thread in chat.

5. Record kept

Who approved which version, and when, stays on the record for month-end and for the next conversation with the retailer.

Do we need to replace Shopify, our ERP or our 3PL?
