Get approved creative ready to launch.

The ad is approved. The final file, latest feedback, and launch instructions are still scattered.

For a brand working with creators, editors, and a paid-media team or agency.

What good looks like.

The media buyer can find the approved version and launch instructions without asking in chat.

Where AI could help.

AI could turn an approved brief into a draft shot list, summarize review comments, or flag missing handoff information. People still approve the creative and publishing. Clear versions and file access may be the more useful first fix.

How the work could move.

A suggested process to adapt to your team. Each handoff needs a clear owner and a visible check.

  1. Brief

    Strategist

Record the product, angle, evidence, format, deadline, and named approver.

Ready when: Brief is approved for production.

  2. Script and record

    Producer / creator

Link the approved script and shot list. Capture footage and flag missing shots.

Ready when: Required footage is captured or the missing work is assigned.

  3. Upload and edit

    Creator → editor

Link raw files, check access, and submit a clearly numbered edit version.

Ready when: The reviewer can open the exact version.

  4. Review

    Creative lead

Resolve conflicting feedback and record approval against that version.

Ready when: All required revisions are closed by the named approver.

  5. Ready to launch

    Producer → media buyer

Include the final export, format, rights evidence, and destination.

Ready when: Media buyer confirms receipt and completeness.

  6. Record what went live

    Media buyer

After a person approves publishing, record the live ad ID and date.

Ready when: The live asset can be traced back to its approved version.

Explore the setup, checks, and exceptions

Start with your tools.

Start with a shared tracker and links to your existing files. A board in Airtable, ClickUp, or Notion can hold the record; keep footage and exports in your existing storage. Verify permissions before each handoff.

When things go wrong.

  • A new edit needs a new approval. Keep the old approval as history.
  • Missing or expired usage rights stop launch readiness.
  • A broken file link is an incomplete handoff, even if someone checked “done.”
  • Canceled work stops pending tasks; keep the decision and files.

A useful first step.

Take one real asset through the tracker. Ask the receiving person to find everything without a Slack explanation.

What to measure

Track the time from final approval to launch handoff, plus handoffs returned for missing information.
